Job Description
Interact with Travel Agents to procure airline tickets, hotel reservations, car rentals etc. for all company employees
Use third party vendors such as Priceline.com, Expedia.com, Travelocity.com, Hotel.com, Booking.com etc. to book tickets, hotels reservations, car rentals etc.
Build a strong working relationship with the travel agent, airlines and hotels and negotiate for preferred rates
Assist in processing visa forms and obtaining visas from foreign embassies
Create and maintain daily, weekly, and monthly reports for all travel ensuring accuracy on all reports.
Update, review and maintain travel logs, and validate expense reimbursements submitted by employees.
Arrange travel insurance for all travelers;
Maintain company travel policies by updating manuals and policy information as requested with reference to corporate policies/procedures for travel and guidelines.
Work towards meeting travel needs within the constraints of the travel budget of the company and report deviations, if any
Assist employees with resolving travel problems or related issues that arise while on travel.
Provide recommendations on improvements to the current systems, policies and procedures
Collect invoices from service providers, preparing POs and coordinating with finance department for timely payment, dealing with complaints or refunds for travelers
Stay educated on airline rules, regulations and current affairs
Procure and manage Mobile devices and overseas SIM cards for all travelling employees Coordinate with the finance department to provide foreign exchange to company employees in a timely manner.
